This policy explains what information Eagle Distribution ("Eagle," "we," "us") collects through www.eagle-distribution.com and our wholesale accounts, how we use it, and the choices you have. Our site and services are for licensed retail businesses and their authorized representatives who are 21 or older.

1. Information we collect

Information you give us when you apply for or use an account:

  • Business identity: legal business name, trade name, address, FEIN
  • Licenses and permits: resale (sales tax exemption) certificate, Oklahoma OTC cigarette permit, and related permit details
  • Applicant identity: name and driver license number
  • Document uploads: copies of the documents above
  • Contact details: name, phone number, email address
  • Order and account history: orders, quotes, invoices, payments, credits and communications with us

Information collected automatically:

  • Cookies used by our Odoo website platform (see Section 5)
  • Basic technical data such as IP address, browser type and pages visited, as recorded in standard server and platform logs

2. How we use information

  • Account verification: to confirm your business is licensed and eligible to buy wholesale tobacco, nicotine and vapor products, and that the applicant is 21+.
  • Tax and regulatory compliance: to apply tax stamps, handle sales tax exemptions, keep required records, and file reports required by law (for example, state tobacco reporting).
  • Fulfilling orders: to process orders, arrange pickup or local delivery, invoice, collect payment and issue credits.
  • Customer service: to respond to questions and send account and order notices.
  • Security and fraud prevention: to protect our site, accounts and business.

3. How we share information

We do not sell personal information. We share information only as needed:

  • Government and regulatory agencies, when required by law (for example, tax and tobacco reporting).
  • Service providers that help us run our business, such as website hosting (Odoo), payment processing and IT support, who may use the information only to provide services to us.
  • Legal and safety reasons, such as responding to lawful requests, enforcing our terms, or protecting rights and safety.
  • Business transfers, if Eagle is involved in a merger, sale or similar transaction.

4. How long we keep information

We keep account, license and order records as long as needed for business, tax and legal requirements, including to resolve disputes and enforce our agreements.

5. Cookies

Our site runs on the Odoo platform and uses cookies to:

  • keep you logged in (session cookie),
  • remember the contents of your cart, and
  • remember that you have passed the 21+ age gate.

These cookies are needed for the site to work. You can block or delete cookies in your browser, but parts of the site (login, cart, age gate) may not work.

6. Security

We use reasonable administrative, technical and physical measures to protect information, including restricting access to license and ID documents to staff who need them. No system is completely secure, so please keep your login credentials private and tell us right away if you suspect unauthorized access.

7. Your choices

  • You can review and update much of your account information by logging in.
  • To request access to, correction of, or deletion of your information, call us at (918) 380-6662 or email info@eagle-distribution.com. We may need to keep some records to meet legal and tax obligations.
  • You can opt out of marketing emails at any time using the unsubscribe link or by calling us. Account and order notices will still be sent.

8. Age restriction

Our site is not intended for anyone under 21, and we do not knowingly collect information from anyone under 21.

9. Changes to this policy

We may update this policy from time to time. Changes will be posted on this page with a new effective date.
